The Program Coordinator will work with EHS leadership and staff to ensure efficient operation of EHS activities with the overall goal of enhancing employee health and safety. The incumbent will work to ensure appropriate documentation is in place and readily accessible for all EHS activities. The Coordinator will provide administrative support for various EHS activities to ensure compliance and a safe work environment.

This position is fully onsite in the Longwood Medical area.


  • Office Operations
    • Manage departmental supply ordering.
    • Maintain paper and electronic document management systems. Help transition paper processes to electronic.
    • Triage EHS central phone number and email to appropriate EHS staff members.
    • Process invoices for payment by Accounts Payable.
  • Committee Management
    • Schedule safety committee meetings and take meeting minutes.
    • Follow up with committee members to ensure they have the requisite information to complete committee tasks.
  • Systems Assistance
    • Assist EHS Program Manager and EHS Systems & Design Analyst with data entry.
  • License/Permit Management
    • Ensure regulatory license/permit applications are submitted in a timely manner and permits are posted in appropriate locations.
  • Policy Management
    • Ensure current policies are sent to appropriate staff for periodic review.
    • Guide new policies through the review and approval processes.
  • Work Order System
    • Dispatch work orders to the appropriate EHS staff members.
    • Transfer and place follow-up work orders for other departments.
  • EHS Employee Onboarding & Termination
    • Ensure appropriate documentation is completed and materials distributed/returned.
  • Contract management
    • Remind contract owners of upcoming contract expirations and coordinate renewals with vendors.
  • Assist departmental staff with assorted tasks as needed.


  • Associate’s degree required. Bachelor's degree preferred.
  • Minimum of 4 years relevant experience working in a medical or scientific research setting or comparable technology-oriented business environment is preferred.
  • Excellent written and oral communication skills.
  • Knowledge of computer applications, database management in particular.
  • Strong customer service skills and the ability to interact professionally with peers, leadership and external contacts.
  • Must possess the ability to maintain confidentiality and pay attention to detail.
  • Excellent ability to organize, prioritize and follow-through.
