Overview

The Volunteer Services Manager, Patient and Family Advisory Councils is responsible for overseeing the recruitment, training, and coordination of volunteers to support the organization's programs and events. This role involves developing strategies to enhance volunteer engagement and ensuring that volunteer activities align with organizational goals.

This person oversees the Patient and Family Advisory Councils and our E-voices Network. The Patient and Family Advisory Councils (PFACs) at Dana-Farber include patients, family members, and staff. There are separate councils for adult care (Adult Patient and Family Advisory Council, or APFAC) and pediatric care (Pediatric Patient and Family Advisory Council, or PPFAC). Our Council members share their experiences to make a positive impact on the patient/family experience for others. Both councils and our E-voices network represent Dana-Farber's commitment to patient- and family-centered care by including Dana-Farber's core principles in all discussions and projects.

  • Volunteer Recruitment and Onboarding: Develop and implement strategies to recruit volunteers from diverse backgrounds. Conduct interviews and orientation sessions to ensure volunteers are well-prepared for their roles. 

  • Volunteer Coordination: Schedule and assign volunteers to various projects and events, ensuring optimal coverage and support. Maintain accurate records of volunteer hours and activities. 

  • Training and Development: Organize training programs to enhance volunteer skills and knowledge. Provide ongoing support and feedback to volunteers to foster growth and engagement. 

  • Program Evaluation and Improvement: Collect and analyze data on volunteer programs to assess effectiveness and identify areas for improvement. Prepare reports and presentations for senior management on volunteer program outcomes. Collaborate with the volunteer services team to develop and implement strategies for program enhancement. 

  • Relationship Building: Cultivate strong relationships with volunteers, staff, and community partners to enhance collaboration. Address volunteer concerns and resolve conflicts in a timely and professional manner. Responsible for supporting, greeting, and assisting patients and families within the centers due to co-location. 

  • Event Planning and Execution: Plan and coordinate volunteer involvement in organizational events and initiatives. Ensure all logistical aspects of volunteer participation are managed efficiently. 

  • Compliance and Risk Management: Lead efforts to ensure volunteer activities adhere to legal and organizational standards, conducting regular audits and risk assessments. Identify potential risks and implement strategies to mitigate them. 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Ability to develop and implement effective volunteer recruitment and scheduling plans. Proficiency in managing multiple projects and deadlines simultaneously.

  • Strong verbal and written communication skills for engaging with volunteers, staff, and community partners. Ability to build and maintain positive relationships with diverse groups.

  • Skills in designing and delivering training programs to enhance volunteer skills and knowledge. Ability to provide constructive feedback and support to volunteers.

  • Proficiency in using volunteer management software to track volunteer activities and generate reports.

  • Ability to analyze data to assess program effectiveness and identify areas for improvement.

  • Ability to address and resolve volunteer-related issues and conflicts in a timely and professional manner. Resourcefulness in finding solutions to operational challenges.

  • Understanding of organizational policies and legal requirements related to volunteer activities. Ability to ensure volunteer programs adhere to compliance standards.

  • Ability to work collaboratively with other departments to align volunteer activities with organizational goals.

  • Skills in fostering a positive and inclusive team environment.

SUPERVISORY RESPONSIBILITIES:  Supervise volunteers and interns.

MINIMUM JOB QUALIFICATIONS:  

  • Bachelor’s degree required. 

  • Masters degree preferred. 

  • 3 years of relevant experience required of which 1 year experience in supervising volunteers or interns required. 

  •  Volunteer experience preferred

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.

For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
