Overview

The Administrative Director, Disease Center Operations works in close alignment with both the Clinical/Disease Center Physician Leader and the Vice President of Ambulatory Care Operations. The Administrative Director is responsible for ensuring all clinical and business operations are exceptionally and seamlessly managed. Serving as the liaison for both Institute and departmental issues, the Administrative Director develops and implements strategic plans and clinical growth initiatives, and provides fiscal, human resources management, and programmatic oversight in support of research and operational missions within the disease center.

Primary Duties and Responsibilities

 

  • Serve as the central administrative leader for day-to-day operations across the disease center. Assume responsibility for core departmental operations to ensure smooth and compliant execution of clinical and research support functions. Act as the primary point of contact for resolving staff, workflow, and care delivery issues as they arise. Partner closely with Clinical and Nursing Directors across service lines to coordinate priorities and maintain operational continuity. Foster effective communication among multidisciplinary teams and affiliated operational sites to support timely decision-making and service excellence.
  • Oversee financial planning, reporting, and fiscal accountability for the disease center. Maintain and regularly report out on the financial portfolio of operating, grant, clinical trial and discretionary/gift accounts. Prepare, monitor, and reconcile disease center operating budgets, identifying variances and implementing corrective actions monthly. Assess productivity data,  calculate provider bonuses, and oversee departmental expenses, reimbursements, invoices, and medical fee processing. Maintain accurate tracking of outpatient sessions and clinical effort reporting to support financial integrity and operational transparency.
  • Lead administrative staffing and personnel management for the disease center. Direct and coordinate all administrative personnel functions, including but not limited to faculty offer and retention packages, provider onboarding and offboarding, training, credentialing, payroll, and occupational health requirements. Ensure appropriate staffing levels are maintained to support clinical, research, and business operations effectively. Convene regular meetings with scheduling, practice, and research managers and supervisors to address operational issues and resolve concerns in a timely manner.
  • Support strategic planning, program growth, and organizational alignment. Act as a liaison between disease center leadership and institutional, network, regional site, and affiliate partners to ensure alignment with strategic priorities and long-term goals. Monitor new patient metrics, clinical statistics, and growth trends, and provide leadership with analyses related to performance and institutional alignment. Over see the planning and execution of new programs and service lines that expand capabilities and improve access to care. Collaborate with development, marketing, and communications partners to support philanthropic initiatives, promote new service lines, and highlight research advancements, including coordination of patient and provider symposiums.
  • Lead and participate in continuous process improvement and quality initiatives designed to enhance patient care, staff efficiency, and operational performance. Routinely evaluate template utilization, maintain master scheduling templates, and implement scheduling adjustments to improve access and provider productivity. Review patient feedback and operational data with disease center leadership to identify trends and refine workflows. Promote collaboration across Medical Oncology, Surgical Oncology, Radiation Oncology, and associated operational teams to ensure coordinated and responsive care delivery.
  • Advance clinical operations, patient access, and systems optimization. Establish, implement, and monitor operational processes that support high-quality patient access, patient satisfaction, and provider satisfaction. Track key clinical metrics and reports to ensure efficiency, regulatory compliance, and performance standards are consistently met. Support the disease center through technical upgrades, system implementations, and workflow changes, ensuring effective communication and operational readiness. Identity and help develop new technologies and process improvements that enhance the experience of patients, providers, and staff.
  • Supervise staff. Hire, develop, and manage staff to achieve organizational goals. Set clear expectations, deliver feedback, and monitor performance for quality, efficiency, and compliance with policies and procedures. Mentor staff, foster career growth, and cultivate a positive and productive work environment.

 

 

Knowledge, Skills and Abilities

 

  • Strong financial acumen, including knowledge of research grants and contracts.
  • Demonstrated ability to coordinate and balance complex projects and competing deadlines.
  • Proven ability to relate well to and work effectively with all levels of the organization including faculty, clinical staff, and front desk personnel.
  • Excellent customer service, interpersonal, and negotiation skills.
  • Ability to accurately and concisely share both written and verbal information to diverse audiences.

Minimum Job Qualifications

 

  • Bachelor’s degree required. Master’s degree in business or healthcare administration (MBA, MPH, MHA) preferred.
  • 8 years of experience in hospital administration required.
  • Managerial/supervisory experience required.
  • Experience in an academic setting preferred.

 

License/Certification/Registration Required: None

 

Supervisory Responsibilities: Yes

  • Directly supervises at least 5 staff, including but not limited to Disease Center Operations Managers, Administrative and Executive Administrative Specialists and Leads/Supervisors, and Program Managers and Administrators. Indirectly supervises 20 administrative staff.
